Introduction and scope

Thank you for trusting the dispatch desk of TGDelivery. This privacy policy explains in plain terms how TG DELIVERY GROUP LTD (referred to in this document as the Company, the Controller, we, us or our) handles personal information when you visit our website tgdelivery.buzz, use our route planning, parcel locker or delivery coordination platforms, or speak to one of our rider coordinators over the phone at +15707341479.

The document applies to every person whose data touches the delivery loop: the shop owner who books a courier, the recipient who gives a doorstep code, the fleet rider who carries the parcel, and the visitor who simply reads a page. A single set of rules governs them all so that privacy does not depend on which end of a delivery you happen to stand on.

We built these tools as professional scientific and technical services in computer integrated systems design, following the principles of data minimisation, accuracy, purpose limitation and security that the law expects of any modern operator. Where a section below uses a technical term without explaining it, please assume the ordinary meaning of the word applies.

The Company trades as the developer identity TGDelivery. Whenever this policy refers to the developer it means the designer and builder of the platform, and whenever it refers to the Company it means the legal entity registered in England as TG DELIVERY GROUP LTD.

The data controller

The data controller for the purposes of the laws applied within the United Kingdom and the European Economic Area is TG DELIVERY GROUP LTD, a limited company whose registered office stands at 17 Rawdon Road, MAIDSTONE - ME15 6PT, United Kingdom (GB). Our primary privacy contact can be reached by post at that address or by email at assist@tgdelivery.buzz, and by telephone on +15707341479.

Because we host and operate the platforms ourselves, the Company decides both why personal data is collected and how it is used. You are never obliged to hand over more data than the service genuinely needs. Where we ask for a detail, we explain the reason beside the field and we do not quietly gather extra information behind the scenes.

Should the Company ever appoint a second company to process data on our behalf, that processor will be bound by a written agreement that limits its activities to our instructions, requires the same level of security, and stops it from using your data for its own separate purposes.

Information we collect

We knowingly collect the following categories of personal information, each one shaped by the job it has to perform.

  • Identity details: your name, your job title, and the name of the shop, depot or fleet you represent, collected when you open an account or book a round.
  • Contact details: business email addresses, telephone numbers and postal addresses so that a rider or a planner can reach you about a parcel.
  • Delivery details: the recipient names, delivery addresses, signature records, photographs captured at the doorstep and parcel identifiers attached to the items we carry.
  • Account particulars: usernames, hashed passwords, billing addresses and a history of the rounds you have booked with our desk.
  • Technical details: internet protocol addresses, browser type, device model and pages visited, collected automatically when you load our websites.
  • Location and telemetry: battery level, route position and speed events reported by the electric courier bikes while a delivery is active.
  • Correspondence: the content of emails, form submissions and call notes that arise when you ask a question or raise a complaint.

We do not ask for special categories such as an ethnic origin, a health record, a trade union membership or a religious belief, and we ask you not to place such information inside a message box. If you accidentally share a special category of data, we treat it under the strictest security rules and delete it as soon as it is no longer required.

Purposes of processing

Every piece of personal data we hold exists for one of several clear purposes. The largest of these is the completion of the courier service itself: taking an order, printing a label, assigning a locker, planning a route and confirming a delivery with a signature. Without the identity and address information needed for this purpose, no parcel could ever leave the depot.

A second purpose is the operation and support of our systems. We resolve faults, respond to your questions, protect the network from abuse and keep accurate billing records so that invoices match delivered rounds. A third purpose is legal compliance, because the Company must retain certain evidence to satisfy tax, accounting and consumer protection duties.

A fourth purpose is continuous improvement. We study patterns that are genuinely anonymous, such as how many parcels land before noon, and we use the results to make routes leaner. Where analysis could identify a person, we stop well short of that line unless the person has given clear permission. We never mine delivery records for reasons that have nothing to do with delivery.

Legal bases we rely on

UK data protection law requires a lawful basis before we can process personal data. The principal bases we rely upon are set out below so that you can see the legal footing for each activity.

  • Performance of a contract: we process the details needed to perform the courier round you request, or to take the steps asked before we enter into that contract.
  • Legitimate interests: we operate routes, keep our systems secure, prevent fraud and recover our charges, always weighing your rights so that your interests prevail where the balance requires it.
  • Legal obligation: we keep certain records to satisfy United Kingdom accounting and consumer laws and lawful requests from the authorities.
  • Consent: where we rely on consent, such as for direct marketing or cookie settings, we ask for it freely and give you a simple way to withdraw it at any moment.

Where a basis depends on our legitimate interests, we carry out a careful balancing test before processing. If you would like to see the reasoning behind that test, write to assist@tgdelivery.buzz and we will share the relevant summary with you.

Data used to complete a delivery

The heart of our business is the movement of a parcel from one doormat to another, and that movement requires a small set of personal data. When a shop books a round, the shop supplies a recipient name and a delivery address. We hold that pair of details only for as long as the parcel is active and for the short record window that follows.

At the doorstep, proof of delivery is captured in the form of a photograph or an electronic signature alongside the exact time and position. This evidence settles disputes between a sender, a recipient and a carrier, and it protects all three sides. We do not store more of the doorstep than the photograph you can see on the rider device, and we never pair that image with marketing records.

A courier coordination platform is at its best when it forgets a completed job quickly. Completed delivery records remain visible to the shop owner for a defined period so that invoices and disputes can be resolved, after which the identifiable parts are removed or made anonymous. Recipients who prefer a quieter delivery can ask for instructions such as a preferred safe place to be recorded on the load.

Parcel locker processing

Our parcel locker network stores items behind RIDER ORANGE steel doors at convenient points across the delivery area. When a rider stows a parcel into a compartment, the locker system records the recipient contact details and issues a unique collection code by message. That code generally is the only thing a recipient needs at the door.

The locker system also watches its own health, noting which doors are open, how long each compartment stays full and when a box seems to have been forgotten. This operational data helps us to rebalance capacity before a door fills, to identify slow collections and to alert the desk when a parcel has waited too long. We hold the recipient email or phone number for notification only and do not pass it onward for advertising.

If a locker compartment is found to hold the wrong item or a parcel that no one collects, our staff open only that single door under an authorised procedure, record the action and contact the intended recipient using the details attached to the load. Security footage around locker banks, where present, is held on a short window purely to deter theft and to assist the police upon request.

Location and telemetry data

The electric courier bikes in our fleet carry telemetry that reports position, battery and speed back to the dispatch dashboard. We use this stream to give shop owners a live view of their parcel, to pick the nearest available rider and to send help if a bike stops unexpectedly on a country lane.

Telemetry is live rather than archive. We do not build a browsing or shopping history about a rider from their daily loops, and we do not sell movement data to anyone. Rough operational statistics, with all rider names removed, may inform route design, but the minute by minute trace of a named courier exists to complete the delivery and then settles into a short safety and maintenance record.

Crucially, location data is collected only while a rider is on an active round with the platform switched on. Once the shift closes, position reporting stops and only the aggregated day summary remains for payroll and mileage purposes, kept under the same security that guards every other record we own.

Sharing with third parties

We share personal data only where it is genuinely necessary and no broader than the job demands. The categories of recipient we work with include route and map providers that render the streets our riders use, message services that carry locker collection codes and delivery alerts, payment providers that process invoices, and accounting software that keeps our books.

Every one of those recipients acts under a written processor agreement. They receive the minimum data needed, they may not turn your information to their own commercial ends, and they must delete or return it when our contract with them ends. We publish their presence here so that you know the full map rather than a tidy selection.

We also share data where the law compels us to do so, such as with a court, a regulator or a law enforcement body acting under due process, and where it protects the vital interests of any person. We never sell personal information as a commodity, because a route sheet is an instrument of trust and not a product in its own right.

Cookies and similar technologies

Our websites use a small number of cookies and similar local storage markers to remember your preferences and to keep the site working. A small preference cookie tells the depot menu how you like the desk set up. We do not load intrusive advertising trackers onto the platform.

Where we rely on consent for analytics or marketing cookies, a clear banner asks before anything sensitive is set, and you may withdraw that consent from the same banner or (where the law permits without a banner) by adjusting your security or privacy settings. You can always clear cookies through your browser, although some parts of the site may then behave as if you had never visited.

We caution that a cookie is not the same as a parcel scan. Cookies join a visitor to a browser session, whereas scans join a parcel to a delivery record, and we keep the two worlds apart so that reading a page never rewrites your delivery history.

Retention of personal data

We keep personal data only for as long as the purpose still stands, then we delete it or turn it into anonymous statistics. As a general rule, active delivery records stay visible to the shop owner for a limited reconciliation window, and financial records are kept for the term required by United Kingdom tax law before they are destroyed.

Location and telemetry traces from a bike shift are retained for a short safety and service window and then reduced to totals. Locker event logs are held to support fault finding and capacity planning. Account data remains while an account is open and for a short period afterwards to allow you to return, after which it is closed and erased on request.

Our retention decisions are written down and reviewed each year. Nothing is kept on the vague hope that it might become useful later; if we cannot name the purpose and the period, we do not hold the record at all. Anonymised figures that can no longer identify a person fall outside this policy entirely because they are simply no longer personal data.

Security measures

Personal data travels through the same disciplined environment as the parcels themselves. Transmission of your data to and from our platforms is protected by transport encryption, so that a route sheet is no more readable in the air than a sealed thermal bag is on a bike rack.

Inside our systems, access to personal data is limited to the staff whose role genuinely needs it, each holding a distinct account that we can audit. Strong passwords, two factor authentication where we offer it, encrypted storage for the sensitive detail and logs of every unusual access are the standard set our security team maintains.

We test our defences, train our courier and desk staff in safe handling, and treat a stray label or a lost device with the seriousness it deserves by reporting it through the procedures described in the breach section below.

Privacy for children

The delivery platforms and this website are not aimed at children, and we do not knowingly request or collect personal data from a person under the age that local law says may consent on their own behalf. If a child does happen to appear in a recipient name attached to a household delivery, we hold that name for the single act of delivering the parcel and nothing further.

Should we learn that a child under the relevant age has given us personal data without the agreement of a parent or guardian, we will delete that information promptly and close any account created in error. Parents and guardians are welcome to write to us at assist@tgdelivery.buzz to ask for that removal at any time.

We encourage parents to supervise how a young person uses any website. Because our core job is carrying boxes rather than collecting children data, the simplest way users can protect a family is to avoid writing ages, school names or other young person detail into open message fields.

Your legal rights

Data protection law grants you a set of rights that you may exercise free of charge at any time. You have the right to ask what personal data we hold about you and to receive a copy of it, and you may ask us to correct a record that is wrong, to erase data that no longer has a lawful purpose, and to restrict processing where a dispute is being settled.

You have the right to data portability, meaning you can ask for the data you gave us to be handed over in a structured, machine readable form, and the right to object to processing grounded in legitimate interests or carried out for direct marketing. Where we act on consent, you may withdraw that consent at any time and we will respect your choice without penalty.

To use any of these rights, simply write to assist@tgdelivery.buzz or post your request to 17 Rawdon Road, MAIDSTONE - ME15 6PT, United Kingdom (GB). We respond within the period the law allows, usually without charging you, and we confirm each action we take in clear English rather than boilerplate.

International transfers

Personal data is primarily stored and processed within the United Kingdom and the European Economic Area, in line with where the parcels and the servers live. From time to time a tool we depend upon, such as a mapping or messaging provider, may process a fragment of data in another country that has been assessed as providing an adequate level of protection.

Where data must cross a border to a territory that protection law does not yet treat as adequate, we put in place the recognised safeguards, such as standard contractual clauses approved by the regulator, so that your rights travel with your data. A record of these safeguards is available to you on request.

We never transfer data overseas for the sake of convenience or cost alone, and we never send a parcel to a locker door across the world when the operator beneath it cannot show the same standard of care we owe you here.

Marketing and profiling

We do not send newsletters or promotional offers unless you have given your clear consent to receive them, and we do not build secret profiles about recipients from their delivery history. A shop that books rounds may receive courteous reminders when its usual slot is nearly full, because a planner who knows your rhythm runs a better depot.

Any automated decision that significantly affects you is made only where the law allows it and where you have the right to ask a person to review the outcome. Our routing engine decides the order of stops, but a human planner always remains accountable and reachable by phone at +15707341479 if a decision feels unfair.

You can unsubscribe from marketing in a single click and you will never find your name on a rented list, because a good courier knows a warm regular better than a cold database ever could.

Data breach handling

However strong the doors, a responsible depot plans for the rare event of a breach. Our response begins the moment a potential breach is noticed, when the incident is contained, assessed and the affected records identified with speed rather than afterthought.

Where a breach creates a genuine risk to the rights and freedoms of individuals, we notify the relevant supervisory authority without undue delay and, where the risk is high, we contact the affected people directly with an honest account of what happened and the steps they can take to protect themselves.

We record every incident, however small, because patterns matter. The lessons from each event tighten our training, our storage and our access rules so that the next orange door closed is a little harder to force than the last.

Complaints and contact

If you have a question, a concern or a request about your personal data, the fastest route is to email our privacy team at assist@tgdelivery.buzz, to write to TG DELIVERY GROUP LTD, 17 Rawdon Road, MAIDSTONE - ME15 6PT, United Kingdom (GB), or to call the desk on +15707341479. A named person in our team handles every inquiry and answers within the time the law prescribes.

We hope to resolve any concern to your satisfaction, and we treat your words with the same care we give a parcel. If you remain unhappy with our response, you are entitled to lodge a complaint with the data protection supervisory authority of the United Kingdom or of the country where you live, and we will cooperate fully with that authority.

This policy is reviewed whenever our practices change and kept dated so that you can always tell which edition governs you. The developer TGDelivery maintains this document for the Company, and the version in force at the time you use the platform is the one that applies.
